Avenger Volunteer Hub helps the robotics team organize volunteer events, assignments, attendance, hours, and certifications. This notice describes the data used by the app.
Information the app uses
- Account details: student ID used to sign in, name, grade, active membership, and an internal account identifier. Mentor accounts use school email addresses and separate private sign-in codes. Existing members sign in with their student ID. New accounts also require the team access code.
- Volunteer records: event signups, selected roles, required assignments, attendance, activity dates, requested and approved hours, review decisions, and student or administrator notes.
- Certifications and evidence: certification type, organization, earned and expiry dates, review status, uploaded photos or certificate files, file names, file types, file sizes, and links or identifiers connecting files to submissions. Existing records and photo links imported from the earlier hub are also used.
- Sign-in information: authentication sessions and login-attempt counters. The login service uses hashed student-ID and IP-address values for sign-in lookup and attempt limits. The app keeps its authentication session in the browser tab's session storage.
How the information is used
The app uses these records to identify members, manage event capacity and roles, show personal progress, record attendance, review evidence, approve hours and certifications, and prepare team reports. Administrators can review student records and download an hours report.
Storage and access
The website is hosted on GitHub Pages. Supabase provides the app's database, authentication, and backend functions. Uploaded evidence files are stored in the team's Google Drive folder; Supabase stores their associated submission details and file identifiers.
Student screens show the signed-in student's personal records and team opportunities. Administrator access is unlocked from a student account with the shared administrator code and provides access to team records for event management and review. Keep student IDs and access codes private.
Authorized mentors can manage competitions for their assigned schools, view the associated volunteer rosters, request more volunteers, and view active students' names, grades, and certification summaries for recruitment. In-app access to certificate documents is limited to students on the mentor's competition rosters. Mentor access does not include students' hour submissions or attendance photos.
People with access to the underlying Google Drive folder or individual shared files may also be able to view those files according to their Google Drive permissions. Opening an older photo link uses that file's existing sharing settings.
Google Drive connection
Students use the app's student-ID login. The Drive connection is authorized separately by a team-authorized Google account and used by the backend to store and retrieve evidence.
The connection requests Google's drive.file permission: access to files created by the app or explicitly selected for the app, including the selected evidence folder. It does not request access to the account's entire Drive. The connection's refresh token and client secret are stored in backend configuration.
Google Drive data is used for volunteer and certification evidence and team review. The app does not use that data for advertising or sell it. Its storage and processing involve Google Drive and Supabase as described above.
Questions and record corrections
You can update your name and grade in the app. For incorrect records, access concerns, or requests about stored information or photos, contact kanishkj2105@gmail.com. Team leadership will need to review the relevant records and storage locations; this notice does not set an automatic deletion schedule.
